Rates and what you get paid

Every country works out mileage differently. Choose yours once and Reclaim applies the right rate, currency and distance unit to every trip.

Your country decides the rate

Reclaim carries the published rates for the countries it supports, including the shape of them: a rate that steps down past a yearly threshold in one place, a flat rate in another, an annual cap somewhere else. The Report tab shows how close you are to a threshold where there is one, so a change in what you are paid per mile is never a surprise.

When an authority changes a rate, the new one reaches the app without waiting for an update to be released.

When your employer pays something else

Plenty do. Set your own rate instead of the published one, and Reclaim uses it everywhere.

You can also turn reimbursement off entirely and record distances only. That is the right choice for a company car where the fuel is not yours to claim: you still have a complete mileage log, without a money column that means nothing.

Passengers

Some countries have a small extra rate for each colleague you carry on a business journey. Where yours does, the setting appears in Settings and a passenger count appears on the trip.

Paying for private use of a company vehicle

Some employers charge for private mileage in a company vehicle. Set what yours charges per mile or kilometre and your claim shows Accounts the amount to deduct, worked out from your personal journeys.

Where you drove privately is never itemised on the claim. Only the total distance is, which is all anyone needs to work out the charge.

Vehicles

Add every vehicle you drive for work. Each trip belongs to one of them, the rate follows the type of vehicle, and your claim can show odometer readings alongside the distances if that is what your employer asks for.
