Recording mileage

How do I get trips recorded without pressing anything?

Settings, then How trips start, then Smart. It records every drive on its own and flags any your phone was not plugged in for, so you can check each one was really a car journey. More on tracking.

A drive is missing. Where did it go?

Four usual causes: you are on Plug and Go and did not plug in, the drive started outside your tracking schedule, location access is not set to Always, or the phone had no signal and the trip is waiting to upload rather than lost. Settings, then Tracking configuration, checks the middle two for you. Work through it.

What is the difference between Smart and Plug and Go?

Smart records every drive and uses the charging cable only to flag the ones you did not plug in for. Plug and Go records nothing unless the phone is charging, so a drive with no cable is not recorded at all, not even as a trip you can check later. Smart is the recommended setting.

Can I stop it recording outside work hours?

Yes. Set a tracking schedule and trips only start on the days and hours you choose, overnight shifts included. A drive that starts inside the window still runs to its natural end, so nothing gets cut in half.

Does tracking drain my battery?

Background location costs power, and no mileage app avoids that. If battery matters more than catching every drive, Plug and Go only runs while you are charging, and manual recording runs only between Start and Stop.

Why did one journey come through as two trips?

A long enough stop ends a trip. Open the Inbox and you will see an offer to join the two back together, which adds their distances rather than drawing a line across the gap. More on the Inbox.

Can I add a trip by hand?

Yes. The + button, then add a trip. Type where you went and the driving distance is looked up for you.

Receipts

How do I add a receipt?

The + button, then Add a receipt. Scan it with the camera or import a photo or PDF. The merchant, date, total and any tax fill themselves in, and you can work through a stack in one go.

It read something wrong.

Every field stays editable until the receipt goes on a claim. Where Reclaim is not confident about a figure it tells you, rather than presenting a guess as a fact.

I bought fuel and a coffee on the same receipt.

Reclaim claims the fuel and shows you exactly what it left out, so you can see the decision instead of having to trust it.

I only claim expenses, not mileage.

Turn Track mileage off in Settings. Trip tracking disappears and claims cover receipts alone.

Claims

How does a claim get sent?

The Report tab totals the period and emails it, with the receipt images attached, to whoever reimburses you. You set that address in Settings. More on claims.

My claim period is not weekly.

Settings, then Reporting period. Daily, weekly, every two weeks, twice monthly, monthly, quarterly or yearly. The report and any automatic sending both follow it, and nothing already recorded changes.

Why has my automatic claim not gone out?

It will not send while trips are unsorted in your Inbox, because those miles are not on the claim and the next period would never look back for them. Clear the Inbox and it sends.

Can I send the same claim twice?

You can resend one, and it goes as a clearly labelled copy. Nothing is marked as newly claimed, so nobody gets paid twice for it.

Did my claim actually arrive?

Settings, then Sent claims, lists every claim and what happened to it. Each row is honest about how much its status is worth.

Rates and amounts

What rate am I paid at?

The published rate for your country, applied automatically, including any threshold where the rate steps down partway through a year. More on rates.

My employer pays a different rate.

Set your own instead, and Reclaim uses it everywhere.

I drive a company car and cannot claim fuel.

Turn reimbursement off and record distances only. You keep a complete mileage log without a money column that means nothing. If your employer charges you for private use, set that rate and your claim shows Accounts the amount to deduct.

What about passengers?

Some countries have a small extra rate per colleague carried on a business trip. Where yours does, the setting appears. Your employer does not have to pay it, so leave it off unless you know yours does.

A rate has just changed. Do I need to update the app?

No. New published rates reach the app on their own.

Account, data and billing

Is there an Android version?

Not yet. Reclaim records mileage on iPhone today and Android is coming. You can already open Reclaim on the web from any phone's browser to review trips and export them, but recording a drive needs the app.

Can I use Reclaim in a browser?

Yes. Open Reclaim on the web and log in with the same account to review trips at a desk and export them to CSV or Excel.

Can I get my records out?

Export trips or expenses to CSV or Excel for any date range. Amounts and distances come out as real numbers that add up, not text, and the totals are live formulas.

What happens if I change phone?

Sign in on the new one and everything comes back. The only thing that lives on the old phone is a trip recorded with no signal that has not uploaded yet, so open the app on a good connection before you wipe it.

What does it cost?

Free for 30 days, with no card needed to start. After that it is £6.99 a month or £59 a year, bought and cancelled through the App Store; adding receipts and sending claims are what need the subscription. Full pricing.

My employer wants to pay for it.

They can. A business account is bought on the web rather than in the app, because a company needs an invoice and the App Store does not issue one. They invite you by email, everything you have already recorded stays where it is, and there is nothing for you to pay. Your trips and receipts stay your own records, not theirs. What happens to my data if I stop subscribing?

It stays yours. You can still open it, read it and export it. You cannot add to it or send a claim until you subscribe again.

How do I delete my account?

Settings, then Account, then Delete my account. That takes the login and everything on it, permanently. Clear all data is the smaller version: it empties the account and keeps the login.

What do you do with my data?

Only what the app needs. It is never sold and never used for advertising. The privacy policy sets out exactly what is collected and every company that processes any of it on our behalf.
