Your account and your data

Your records are yours. Here is where they live, how to get them out, and how to delete them.

Reclaim in a browser

Log in at reclaimexpenses.com with the same account you use on your phone. The browser view shows thirty trips at once, which is the right shape for a desk: you are looking for the three that need fixing, not reading them one at a time.

Category, notes and whether a trip is reviewed can all be edited there. Distances and addresses stay read-only because they come from GPS, and the number is what the claim rests on.

Getting your records out

Export trips or expenses to CSV or Excel for any date range. Amounts and distances come out as real numbers that add up rather than text that looks like numbers, the units are in the column headings, and the totals are live formulas that stay honest when you delete a row.

What is stored where

Your trips, receipts, vehicles, locations, tags and settings are held on the server, so signing in on a new phone brings all of it back. The one exception is a trip recorded while you had no signal, which lives on that phone until it uploads.

What the app keeps on the device is the things it needs when it cannot reach anything: the trip currently being recorded, the upload queue, your tracking schedule and your notification choices.

Subscription

Reclaim is free for 30 days, with no card needed to start. After that, adding receipts and sending claims need a subscription, bought and cancelled through the App Store. If your employer buys you a place on a business account, that covers you instead and there is nothing for you to pay.

Deleting things

• Clear all data empties the account and keeps the login.
• Delete my account takes the login as well, and everything on it, permanently.

Both are in Settings under Account. Neither can be undone, so both make you confirm properly rather than with a single tap.

Privacy

Reclaim records where you have driven, which is about as personal as data gets. It is never sold and never used for advertising. The privacy policy sets out exactly what is collected and every company that processes any of it on our behalf.
